What a Digital Product Passport Asks of Your Bill of Materials

The data mostly exists already — scattered across an ERP, supplier questionnaires and spreadsheets. What it takes to assemble it into one record that stays correct as the product changes.

The Digital Product Passport is often presented as a sustainability initiative, which undersells what it actually demands. It is a data integration requirement with a regulatory deadline, and the work it creates falls mostly on whoever owns the bill of materials.

Start with what is being asked for: material composition, substances of concern, environmental performance indicators, durability characteristics and end-of-life information, all reachable from a code on the product. Most manufacturers can produce every one of those today, given a few weeks and some emails. The difficulty is that producing them takes a few weeks and some emails, and the passport has to be correct continuously, for every unit, as revisions ship.

The supply chain is where this gets hard rather than tedious. You know what you buy; you frequently do not know what your suppliers buy. A connector's material declaration comes from the connector vendor, whose sub-supplier changed a plating process last quarter without telling anyone, because there was never a mechanism that required telling anyone. The passport turns that from a quality footnote into a compliance exposure, which means supplier agreements need clauses about notification that most current contracts do not contain.

Revision drift is the failure mode to design against. Hardware changes constantly — a resistor is substituted during a shortage, a housing supplier changes, a firmware version ships with different power behaviour — and each of those may alter something the passport asserts. A record generated once at launch will be wrong within a year and nobody will notice, because nothing in the normal engineering process checks it. The passport has to be generated from the same source of truth the product is built from, not maintained alongside it, or the two will diverge in the direction that is embarrassing.

The practical first step costs nothing and answers most of the planning questions: take one product and try to assemble its passport by hand. Track how long it takes, which fields required contacting a supplier, and which nobody could answer at all. That last category is the real project — the rest is plumbing. Doing this while the deadline is distant means negotiating supplier terms at renewal rather than under pressure, which is the difference between a cost and a scramble.
